Acceptable use

What a hosted inbox may not be used for during the pilot, and what we do when one is.

These rules are part of the hosted inbox terms. They keep the service safe for the businesses on it and for the people who write to them.

Do not use a hosted inbox to

  • Pretend to be someone else. Set up an inbox for your own business and no other, on a domain you control or are allowed to use for it, under your business’s real name.
  • Send spam, or write to people who did not contact you.
  • Offer or arrange anything unlawful, or break consumer, data protection or tax law.
  • Collect what does not belong in it: card numbers, passwords or government ID numbers in messages, or health and other special-category data. During the pilot, health and medical practices cannot use the hosted inbox at all.
  • Invent receipts, customers, bookings or reports, or pay or pressure anyone to make them.
  • Attack or overload the service, probe other inboxes, or get around its limits.
  • Store content that is unlawful, or that you have no right to store.

What we do

  • We act in proportion. Usually that means telling you and asking you to put it right before we do anything.
  • If we have to act at once, we suspend the inbox: agents can no longer reach it, and you can still sign in, read what is there and download it. Its emails to customers can also be paused on their own, when they bounce or are reported as spam too often.
  • Every decision is taken by a person, never by a machine alone. We tell you in writing what we did, why, under which rule, and how to ask us to look again. A person who did not take the decision looks again.
  • We close an inbox for a breach when it is serious and not otherwise, and we tell you why.
  • Ownership of an inbox never moves to someone else because you did not answer us.

Where this stands

We wrote this ourselves, and a lawyer has not reviewed it yet. This note comes off the page once one has.
